1. Plans and pricing
ClubCircl offers a Free plan for up to 9 active members, Plus at US $7 per month per club for up to 25 active members, and Pro at US $12 per month per club with no active-member plan limit. Owners and officers count as active members. Inactive records do not count toward the active-member limit. One Free club per owner is available under the current offering; users can still be members of multiple clubs.
Pro is the highlighted “Most popular” option on our pricing page. The label identifies the plan we recommend for the full feature set; it is not a representation of independently audited sales rankings. Applicable taxes, if any, and the final amount due must be disclosed by the external checkout before purchase. Any annual option shows its full annual charge and comparison amount before selection; an equivalent monthly figure does not mean annual fees are charged monthly.
2. Included features and limitations
Core membership, club codes, invitations, member chat, moderated news and media, officer positions, club appearance, ordinary events, and ownership transfer are available according to the published feature comparison and reasonable service limits. Plus adds capacity and the applicable attendance and owner-export tools. Pro includes advanced tournaments, financial records, external payment-page settings, and eligibility for organization oversight. An organization arrangement requires a separate Enterprise agreement in addition to the relevant club plans.
“Unlimited members” means there is no numeric active-member plan limit on Pro. It does not remove file-size limits, storage quotas, abuse controls, request limits, or restrictions on unlawful use. Current file limits are 5 MB per file and 100 MB total per club unless a separate agreement states otherwise. Feature availability may be affected by configuration, provider availability, or clearly identified pilot limitations. Do not assume a test checkout has created a live paid subscription.
3. Purchase, renewal, and payment providers
Only a club owner can purchase or manage the club’s subscription through the designated billing provider. The checkout must identify the plan, billing interval, amount, and renewal terms before you authorize payment. Where recurring billing is enabled and you purchase a subscription, you authorize the disclosed recurring charges until cancellation under the applicable checkout terms. Payment credentials are entered with the external provider, not stored in a ClubCircl form.
Live ClubCircl subscriptions use Stripe-hosted Checkout and a Stripe billing portal. Plus is charged US $7 monthly; Pro is charged US $12 monthly or US $108 annually when the owner selects annual billing. The full annual amount is charged at purchase and each annual renewal. Review the amount, billing interval, payment method, and any disclosed tax before confirming. A subscription belongs to one club and does not upgrade all clubs in an account. Complimentary access does not itself create a subscription or authorize a charge. A sample or test-mode interaction is not a real payment and will not be converted into a live charge.
Payments collected by an individual club for an event or dues are separate from ClubCircl service subscriptions and are governed by that club’s and provider’s terms. ClubCircl does not hold member funds or use subscription checkout to settle a club’s expense records.
4. Changes, cancellation, and refunds
The club owner can open the club’s Settings, choose Manage subscription, and use the Stripe portal to review invoices, update the payment method, change supported plans, or cancel renewal. Plan changes may take effect immediately and can produce a prorated charge or credit; the portal shows the applicable amount and effective date before confirmation. A credit is not necessarily a cash refund. Changing the billing interval may change the next renewal date. Cancellation stops future renewal and paid access continues until the end of the already-paid period. Contact help@clubcircl.com promptly if the portal is unavailable or you believe a charge is incorrect.
Before a price increase affects an existing recurring subscription, we will provide the notice required by applicable law and an opportunity to cancel before the new price applies. We will not represent a change as effective before the external provider confirms it. Refunds are handled according to disclosed purchase terms, applicable law, and any written Enterprise agreement. No statement here removes a mandatory cancellation, withdrawal, or refund right. Please include the club name and billing receipt reference when requesting billing help, but never send full card details.
5. Downgrades and failed payments
A downgrade preserves existing club records subject to ordinary retention and deletion rules. When the lower plan or an expiring entitlement takes effect, the club access roster is reduced to the new limit (9 on Free; 25 on Plus; unlimited on Pro). The owner counts toward the limit and always retains access. Owners may save the members who should keep access for each lower plan in Settings. Remaining places are filled by officer rank, then recorded join order, with a stable tie-break for older records whose join date is unknown. Excess members lose club access, including officer access, but their individual accounts, other clubs and historical records are retained under the ordinary deletion rules. Restoring access after an upgrade requires an owner action and available capacity; it does not happen automatically. Semester attendance standing is separate from access: alumni and attendance-inactive members still count when their club access is enabled. Cancelling renewal leaves the current paid entitlement in place through its paid-through date. Features requiring a paid plan can become unavailable for new activity after paid access ends. Core ownership transfer remains available. Sensitive financial information remains subject to role permissions even when a plan changes.
A provider may retry a failed payment or restrict a subscription according to its disclosed process. We may limit paid access if payment is not completed, with notices where required. A recorded club payment or an expense entry is not a substitute for paying the ClubCircl subscription and cannot activate a paid plan. Support cannot request payment by asking you to reveal a bank password or card security code in chat.
6. Enterprise arrangements and responsibility
Enterprise is for organizations overseeing groups of clubs. There is no published fixed Enterprise price. Scope and fees are agreed case by case according to organization size, number of clubs, onboarding, and service requirements. Contact help@clubcircl.com for an agreement. Submitting an organization request does not itself incur a fee or activate oversight access. Activation follows the agreed setup, and each linked club must satisfy the applicable Pro requirement.
An Enterprise agreement should identify the contracting organization, authorized administrator, linked-club scope, billing terms, support expectations, data responsibilities, and any special retention or service requirements. Organizations remain responsible for their internal policies and lawful use of oversight data. ClubCircl is provided by Thompson Software Solutions, North Carolina, United States.
