Acceptable Use & Community Standards

Effective October 26, 2026 · Thompson Software Solutions · North Carolina, United States

1. Respectful and lawful participation

ClubCircl is a place for members to organize and communicate. Use accurate identities and act within your actual club authority. Do not threaten, harass, stalk, exploit, or unlawfully discriminate against others. Do not publish private information without an appropriate basis or permission. Do not impersonate an officer, fabricate institutional affiliation, or mislead members about where a payment will go.

2. Content, files, and rights

Only upload material you have the right to share with the chosen audience. Obtain necessary permission for photographs, logos, copyrighted works, and information about other people. Do not upload malware, stolen data, unlawful sexual material, or content intended to facilitate fraud or violence. Do not submit passwords, card numbers, bank credentials, medical records, government identifiers, or other highly sensitive information through ordinary club messages or file fields.

News and media submitted by members require officer review. Officers are responsible for checking suitability and permissions before publication; approval is not a legal certification. ClubCircl applies a club-name profanity filter and clubs may maintain additional prohibited words. Do not use altered spelling, encoded text, images, or other techniques to evade a club’s moderation rules.

3. Invitations and account access

Send invitations only to people you are authorized to contact for the club. Do not use invitation emails for unsolicited bulk marketing, phishing, or harassment. A person’s email address in a roster is not permission to sell it or use it for an unrelated purpose. Share join codes only with the intended community and replace a code if its distribution becomes inappropriate.

Do not probe for another club’s private information, abuse account-recovery tools, evade rate limits, resell access without permission, or interfere with security controls. If you discover a possible vulnerability, report it privately to help@clubcircl.com with enough information to reproduce the issue safely. Do not include other people’s private data or continue accessing records to prove a problem.

4. Payments, reports, and oversight

Clubs must describe events and payment requests accurately. Collect payments through an authorized external provider, follow its rules, and make the recipient, amount, purpose, and refund conditions clear. Do not ask members to send financial passwords to ClubCircl. Keep financial records honest; a manual ledger entry is not proof of settlement.

Organization administrators must use oversight access for authorized purposes and avoid collecting information beyond what is needed. Clubs must submit accurate reports required by their organization and correct errors when discovered. Neither a club title nor an Enterprise relationship gives permission to reuse personal information for unrelated advertising or surveillance.

5. Reporting and enforcement

Report concerning content or an account problem through the support form or help@clubcircl.com. Include the club name, a description, and the relevant event or content reference where possible. Share only the information needed to investigate. For an immediate emergency, contact the appropriate emergency services directly; ClubCircl support is not an emergency-response channel.

We may investigate reports, remove or restrict content, disable invitations or codes, and suspend accounts when appropriate under our terms and applicable law. We consider context and the severity of the issue, and may act promptly where necessary to protect people or the service. Contact support if you believe a decision is mistaken. Repeated or serious violations may result in loss of access. These standards supplement the Terms & Conditions and do not limit mandatory legal rights.
